Officer, Faculty Affairs, Office of Human Resources



Reports to: Senior Manager, Faculty Affairs
PurposeThe job holder is responsible for maintaining and updating accurate faculty records. Support different faculty affairs functions. In addition, perform a variety of moderately office duties, including creates, maintains, and produces accurate and up-to-date databases and prepares reports. Handles highly confidential data and documents.
Principal Accountabilities:
  • Collects all hiring documents for newly hired Faculty and checks that all required documents and forms is correctly filled
  • Prepares and maintains accurate filing and archiving of Faculty files according to their status (departments and employment status)
  • Maintains and updates electronic copy of personnel record systems including all employment-related information and documents
  • Maintains accurate update for all faculty members’ SAP records
  • Follows up on the social insurance process completion of newly hired staff
  • Processes and keeps records of national social insurance coverage and personnel transactions such as hires, leave without pay, transfers, and terminations
  • Sends and follows up on the termination of social insurance for all resignation cases
  • Traces the Secondment approvals and national social insurance deduction for all seconded faculty on a semester basis
  • Generates ad-hoc queries using SAP reporting tool
  • Produces monthly additional payment SAP reports and verifies SAP entries
  • Extracts and works on several SAP reports (Active faculty reports, Action Reports, dependents report)
  • Submits Faculty data reports by assembling, preparing, and analyzing data
  • Handles Travel Authorization Forms for the new and departed faculty
  • Creates Final departure and first Arrival trip numbers for all new or separated faculty members
  • Arranges the pickup to/from the airport for the new and departed faculty members and their dependents
  • Creates Fund reservations on SAP
  • Responsible for the issuance of the HR letters as requested
  • Follows up on all payments related to faculty with the controller’s office
  • Traces and follow up on faculty clearance forms and termination process
  • Provides administrative support in various HR activities to the faculty affairs department
  • Provides assistance on general HR queries and follow up actions, to ensure consistent and high-quality services are delivered to faculty members
  • Liaises with other internal units/departments on faculty related matters
  • Works on the adjunct faculty loads by checking and verifying data
  • Liaises with academic area departments to receive accurate load reports for all active adjunct faculty
  • Handles Scholarship approvals for all full-time faculty members and their dependents
Requirements:
Minimum Education Requirement:
  • Bachelor degree in Business Administration or any related field
  • HR Diploma is an asset
Experience: Minimum of eight years of experience.
Skills:
  • Excellent command of English and Arabic Languages
  • Excellent computer skills: MS Word, Excel and PowerPoint
  • Working on known HCM system, preferably SAP system
  • Excellent communication, presentation and problem-solving skills
  • Initiative thinking, customer service oriented, analytical
  • Ability to collate and compile relevant data from a variety of sources in order to produce periodic reports for supervisor(s)
  • Ability to monitor and record personnel files and documentation in an organized manner
  • Must be able to prioritize and plan work activities to use time efficiently
